Portal Terms of Use
These Portal Terms of Use (“Portal Terms”) govern your access to and use of church portals and related features provided through the ChurchTrakr platform (“Portal”).
The ChurchTrakr platform is provided by ChurchTrakr LLC (“ChurchTrakr,” “we,” “us,” or “our”) to churches, ministries, and other organizations (“Churches” or individually, a “Church”).
When you use a ChurchTrakr-powered Portal, you are using technology provided by ChurchTrakr to interact with a particular Church.
These Portal Terms apply to your use of the ChurchTrakr technology. Your Church may also have its own policies, terms, privacy practices, membership requirements, giving policies, child-safety policies, or other rules that apply to your relationship with the Church.
By creating a Portal account or using the Portal, you agree to these Portal Terms.
1. What the ChurchTrakr Portal Is
ChurchTrakr provides software that Churches may use to offer online services to their members, attendees, guests, donors, volunteers, families, and others.
Depending upon the features enabled by your Church, the Portal may allow you to:
- Create and manage a Portal account;
- View or update your profile;
- Manage certain household or family information;
- Make donations;
- Review giving information;
- Register for events;
- Submit forms;
- View groups or classes;
- Manage volunteer activities;
- View volunteer schedules;
- Submit volunteer blockout dates;
- Participate in a Church directory;
- Respond to invitations;
- View Church information; and
- Access other features provided by your Church.
Not every Church enables every feature.
2. Your Relationship With Your Church
ChurchTrakr provides the technology used by your Church.
Your Church generally determines:
- What information it maintains about you;
- Which Portal features it enables;
- Who may receive Portal access;
- Your membership or attendance status;
- Groups and classes;
- Events and registrations;
- Volunteer opportunities;
- Church directory eligibility;
- Giving funds and designations;
- Communications sent by the Church; and
- Other Church policies and activities.
ChurchTrakr does not determine whether you are a member of a Church or make ministry, membership, pastoral, financial, or organizational decisions on behalf of your Church.
Questions concerning those matters should be directed to your Church.
3. Age Requirement
You must be at least 13 years old to independently create and use a ChurchTrakr Portal account.
Children under 13 should not independently create a Portal account or directly provide personal information to ChurchTrakr.
Information concerning a child under 13 should be provided or managed by the child’s parent or legal guardian or by authorized Church personnel, as appropriate.
Parents and guardians should contact their Church with questions about information maintained concerning their children.
4. Your Portal Account
If you create or activate a Portal account, you agree to provide accurate information and maintain the security of your account.
You are responsible for:
- Keeping your login credentials confidential;
- Using a secure password;
- Not sharing your account with unauthorized individuals;
- Maintaining accurate contact information; and
- Promptly notifying your Church or ChurchTrakr if you believe your account has been compromised.
You may not impersonate another person or intentionally provide false information when creating or using a Portal account.
5. Information Maintained by Your Church
Your Church may maintain information about you in ChurchTrakr whether or not you create a Portal account.
This information may include:
- Name;
- Contact information;
- Address;
- Photograph;
- Household and family relationships;
- Birthday or date of birth;
- Membership information;
- Attendance;
- Groups and classes;
- Event participation;
- Volunteer participation;
- Giving records;
- Forms and responses;
- Communication preferences;
- Tags and lists; and
- Other information maintained by the Church.
Creating, closing, or disabling a Portal account does not necessarily create, delete, or otherwise determine what records your Church maintains about you.
6. Updating Your Information
The Portal may allow you to update certain information directly.
Other information may only be changed by authorized Church personnel.
If you believe information maintained by your Church is inaccurate and you cannot change it through the Portal, contact your Church.
ChurchTrakr generally cannot independently change Church-controlled records without the Church’s involvement.
7. Church Directory
Your Church may choose to enable a Church directory.
Directory participation is intended to help people within the Church community connect with one another.
Being present in your Church’s ChurchTrakr database does not necessarily mean your information will be included in the directory.
Your Church determines who may be eligible for directory participation.
Where available, you may be given the opportunity to choose whether to participate and what information to share.
Available sharing options may include:
- Profile photograph;
- Email address;
- Mobile telephone number;
- Address;
- Birthday; and
- Other supported directory information.
You are responsible for the choices you make regarding information you voluntarily share through the directory.
8. Appropriate Use of Directory Information
If your Church gives you access to its directory, you may use directory information only for appropriate personal, Church, ministry, or community purposes consistent with the nature of the directory.
You may not:
- Scrape or systematically extract directory information;
- Sell directory information;
- Use directory information to create marketing lists;
- Use directory information for unsolicited commercial advertising;
- Publish directory information publicly without authorization;
- Harass or threaten individuals listed in the directory; or
- Use directory information for fraudulent, unlawful, or abusive purposes.
ChurchTrakr or your Church may restrict or terminate directory access for misuse.
9. Donations and Giving
Your Church may allow you to make donations through a ChurchTrakr-powered giving page.
When you make a donation, you are making the donation to the applicable Church or organization, not to ChurchTrakr, unless explicitly stated otherwise.
ChurchTrakr provides technology that facilitates the transaction.
Payment processing may be provided by a third-party payment processor such as Stripe.
Your transaction may therefore also be subject to the payment processor’s applicable terms and privacy practices.
Your Church determines matters such as:
- Available giving funds;
- Donation designations;
- Tax-deductibility;
- Contribution acknowledgments;
- Refund policies; and
- Use of donated funds.
Questions about a donation or charitable contribution should generally be directed to the Church that received it.
10. Payment Information
Electronic payments may be processed directly by a third-party payment processor.
Complete credit or debit card credentials are generally provided to and processed by the applicable payment processor rather than stored directly by ChurchTrakr.
ChurchTrakr may receive information about a transaction such as:
- Your name;
- Transaction amount;
- Transaction date;
- Fund or designation;
- Transaction status;
- Payment method type; and
- Information necessary to maintain your giving history.
11. Recurring Giving
If your Church offers recurring giving, you may be able to authorize donations on a recurring schedule.
You are responsible for reviewing the amount, frequency, payment method, and other details before establishing a recurring donation.
Available Portal functionality may allow you to manage or cancel recurring giving.
If you are unable to make a desired change through the Portal, contact your Church.
Canceling a recurring donation does not reverse donations that have already been processed.
12. Events and Registrations
Your Church may use ChurchTrakr to offer event registrations.
Events may be free or may require payment.
Your Church determines:
- Event availability;
- Registration requirements;
- Pricing;
- Capacity;
- Cancellation policies;
- Refund policies;
- Event schedules; and
- Other event-related requirements.
ChurchTrakr provides the registration technology but is not the organizer of the Church’s event.
Questions about a particular event should be directed to the Church.
13. Groups, Classes, and Volunteers
Your Church may use the Portal to provide information about groups, classes, volunteer opportunities, schedules, or assignments.
The Church determines participation, eligibility, leadership, scheduling, volunteer requirements, and related policies.
Volunteer scheduling functionality may allow you to:
- View assignments;
- Accept or decline opportunities;
- View a volunteer calendar;
- Submit availability;
- Submit blockout dates; or
- Receive volunteer-related communications.
ChurchTrakr does not independently select, approve, supervise, or manage volunteers for your Church.
14. Email Communications
Your Church may use ChurchTrakr to send you email communications.
ChurchTrakr may use third-party email-delivery providers, such as Resend, to deliver those messages.
Depending upon the nature of a communication, you may be able to unsubscribe or change your communication preferences.
Certain messages may be necessary for requested transactions or services, such as:
- Account verification;
- Password or security messages;
- Donation receipts;
- Event registrations;
- Volunteer assignments; or
- Other transactional communications.
15. SMS/Text Messaging
Your Church may offer the option to receive SMS/text messages through ChurchTrakr.
ChurchTrakr uses telecommunications providers such as Twilio to provide toll-free SMS functionality.
Where SMS consent is requested, you should be provided information about the types of messages you are agreeing to receive.
By affirmatively opting in to receive SMS messages, you authorize the applicable Church and ChurchTrakr’s messaging providers to deliver messages consistent with that consent.
Message frequency may vary.
Message and data rates may apply.
Reply STOP to opt out.
Reply HELP for help.
Consent to receive SMS messages is not a condition of making a donation or purchasing a service.
Wireless carriers are not liable for delayed or undelivered messages.
16. SMS Privacy
ChurchTrakr does not sell mobile information.
Mobile information will not be sold or shared with third parties or affiliates for marketing or promotional purposes.
SMS opt-in data and consent will not be sold or shared with third parties or affiliates for their marketing or promotional purposes.
ChurchTrakr may provide mobile information to service providers, including telecommunications providers such as Twilio, as reasonably necessary to deliver and support the SMS service.
Such providers process information to provide requested messaging functionality and are not authorized by ChurchTrakr to use your SMS consent for their own unrelated marketing.
17. Opting Out of SMS
You may opt out of SMS communications by replying STOP to an applicable message.
After opting out, you may receive a confirmation message acknowledging your request.
Your Church should not continue sending non-exempt SMS communications covered by that opt-out unless you subsequently provide appropriate consent to receive them again.
Opting out of SMS does not necessarily:
- Delete your ChurchTrakr Portal account;
- Remove your telephone number from your Church’s records;
- Stop email communications; or
- Prevent communications through other channels.
Contact your Church if you want to change other communication preferences.
18. Acceptable Use
You agree not to use the Portal to:
- Violate applicable law;
- Impersonate another person;
- Access another person’s account without permission;
- Attempt to bypass security measures;
- Introduce malicious software;
- Interfere with ChurchTrakr’s operation;
- Scrape or systematically collect information without authorization;
- Harass, threaten, or abuse another person;
- Commit fraud;
- Misuse Church directory information;
- Infringe intellectual property or privacy rights; or
- Use the Portal for an unlawful purpose.
19. Content You Submit
The Portal may allow you to submit information, forms, photographs, messages, registrations, or other content.
You remain responsible for information you submit.
You agree not to knowingly submit content that:
- You do not have the right to provide;
- Is fraudulent or intentionally misleading;
- Violates another person’s rights;
- Contains malicious code; or
- Is unlawful.
You authorize ChurchTrakr to process content you submit as reasonably necessary to provide the Portal and make the information available to the applicable Church.
20. Privacy
Your use of the Portal is subject to the ChurchTrakr Privacy Policy.
ChurchTrakr also provides a Congregant Privacy notice explaining in plain language how ChurchTrakr handles information maintained about people whose churches use the platform.
Your Church may also maintain its own privacy policies.
For information controlled by your Church, questions concerning how the Church uses that information should generally be directed to the Church.
21. Information About Children
If you are a parent or legal guardian, your Church may allow you to provide or manage information concerning your children.
You should provide accurate information and only provide information concerning a child when you are authorized to do so.
ChurchTrakr’s child-related features are intended to support Churches and parents or guardians, including activities such as child check-in, classes, attendance, events, and family management.
They are not intended to provide independent online accounts to children under 13.
22. Child Check-In
A Church may use ChurchTrakr for child check-in and related security procedures.
ChurchTrakr provides technology supporting these processes, but the applicable Church establishes and operates its child-safety, check-in, check-out, supervision, volunteer-screening, emergency, and security procedures.
ChurchTrakr does not supervise children or Church personnel.
Parents and guardians should direct questions about a Church’s child-safety procedures to the Church.
23. Third-Party Services
Certain Portal functionality depends upon third-party providers, such as payment processors, email providers, telecommunications companies, mapping services, or other technology providers.
Use of those services may also be subject to the applicable provider’s terms and privacy policies.
ChurchTrakr is not responsible for the independent practices of third-party services.
24. Links to Other Websites
The Portal may contain links supplied by your Church or other links to third-party websites.
ChurchTrakr does not control independent third-party websites and is not responsible for their content, availability, security, or privacy practices.
25. Portal Availability
ChurchTrakr works to provide reliable Portal access but does not guarantee uninterrupted availability.
The Portal may occasionally be unavailable because of:
- Maintenance;
- Upgrades;
- Internet outages;
- Software errors;
- Third-party service interruptions;
- Security events; or
- Circumstances outside ChurchTrakr’s reasonable control.
Your Church may also enable, disable, or change Portal features.
26. Suspension or Termination of Portal Access
Your Church may suspend or remove your Portal access.
ChurchTrakr may also suspend or restrict access when reasonably necessary to:
- Protect account security;
- Prevent fraud or abuse;
- Respond to unlawful activity;
- Enforce these Portal Terms;
- Protect other users;
- Protect the Services; or
- Comply with applicable law.
Termination of Portal access does not necessarily delete records maintained by your Church.
27. Closing Your Portal Account
You may request that your Portal access be closed or disabled through available functionality or by contacting your Church.
Closing Portal access does not necessarily delete information the Church maintains about you.
For requests concerning deletion or correction of Church-controlled records, contact your Church.
28. Intellectual Property
ChurchTrakr and its licensors own the ChurchTrakr software, technology, interfaces, designs, logos, documentation, and related intellectual property.
Your Church or other parties may own content made available through the Portal.
Your use of the Portal does not transfer ownership of ChurchTrakr’s or another party’s intellectual property to you.
29. No Professional Advice
ChurchTrakr provides software.
Information presented through the Portal does not constitute legal, tax, accounting, financial, medical, counseling, or other professional advice from ChurchTrakr.
Questions about charitable contribution tax treatment should be directed to an appropriate tax professional or the applicable Church.
30. Relationship With the Church
ChurchTrakr is an independent software provider.
ChurchTrakr does not operate, control, manage, supervise, or represent the Churches that use its Services.
A Church’s actions, statements, ministry practices, employment practices, volunteer practices, financial decisions, events, child-safety procedures, pastoral activities, or other operations are the responsibility of that Church.
31. Disclaimer of Warranties
TO THE FULLEST EXTENT PERMITTED BY LAW, THE PORTAL IS PROVIDED “AS IS” AND “AS AVAILABLE.”
CHURCHTRAKR DISCLAIMS WARRANTIES NOT EXPRESSLY PROVIDED IN THESE PORTAL TERMS, INCLUDING IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.
CHURCHTRAKR DOES NOT GUARANTEE THAT THE PORTAL WILL ALWAYS BE AVAILABLE, UNINTERRUPTED, OR ERROR-FREE.
32. Limitation of Liability
TO THE FULLEST EXTENT PERMITTED BY LAW, CHURCHTRAKR WILL NOT BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES ARISING FROM OR RELATING TO YOUR USE OF THE PORTAL.
TO THE FULLEST EXTENT PERMITTED BY LAW, CHURCHTRAKR WILL NOT BE RESPONSIBLE FOR THE INDEPENDENT ACTIONS OR OMISSIONS OF A CHURCH, PAYMENT PROCESSOR, TELECOMMUNICATIONS CARRIER, OR OTHER THIRD PARTY.
Nothing in these Portal Terms excludes liability that cannot legally be excluded.
33. Changes to These Portal Terms
ChurchTrakr may update these Portal Terms to reflect changes to the Portal, our business practices, third-party requirements, or applicable law.
When changes are made, ChurchTrakr will update the effective date shown at the top of this page.
Material changes may also be communicated through the Portal, our website, email, or another reasonable method.
Continued use of the Portal after updated Portal Terms become effective constitutes acceptance of the revised terms to the extent permitted by law.
34. Governing Law
These Portal Terms are governed by the laws of the State of Georgia, without regard to conflict-of-law principles.
Any legal proceeding concerning these Portal Terms or ChurchTrakr’s provision of the Portal will be brought in an appropriate state or federal court located in Georgia unless applicable law requires otherwise.

ChurchTrakr provides the software but generally does not make these decisions for the Church.
